Building a Timeline Workflow in the Adapt Apps Builder
Last updated :
Building a timeline workflow for your form unlocks its potential to do more than just collect information. Your timeline can create new items, notify people internally or externally, send API requests and more. In this article, we will be looking at how to build a workflow for your form from scratch and how to test it.
How to build a timeline workflow
Watch the full walkthrough here, or follow the written steps below.
Navigate to the timeline builder
From the Adapt Apps Builder Homepage, go to the Form Section and select the form you want to build the timeline for. Then, in the top left dropdown, select Timeline Builder.
Create a new timeline
Once in the Timeline Builder, select Create New Timeline from the left sidebar. Give your timeline a name and press Ok. Your form now has a new workflow.
Make sure to Save your timeline by pressing the Save button in the top navigation bar.
Timeline Components: Stages and Transitions
Every workflow consists of stages and transitions:
Stages: The functional steps of your process. A stage's type defines its action, such as sending an email, executing an API request, or creating a new record.
Transitions: The paths that connect stages. Transitions can be manual or automatic and support conditional logic to route the flow of your process.
Together, these two components enable you to construct powerful, system-wide automations.
Adding stages to your workflow
You can add a new stage to your workflow in two ways:
Add from the sidebar: Select a stage type from the left sidebar to add it directly to your timeline builder. You will then need to manually create transitions to connect it to the rest of your workflow.
Add directly from an existing stage: Hover over any stage and click the + (plus) icon at the front or back of the stage. This adds a new stage and automatically connects it with a transition.
Editing a stage
To edit a stage, click on the stage and the stage editor will show on the right hand side of the builder. Here you can update the stage type, stage name, and other details about the stage.
Updating transitions
You can update transitions to change their type or configure conditional logic that controls when they trigger:
Manual transitions: Require a user in the user console to manually select the next stage when saving an item.
Automatic transitions: Move the item to the next stage automatically upon saving.
Conditions: Add rules to automatic transitions so they only execute when specified conditions are satisfied.
How to edit a transition: Click any transition in your builder to open the Transition Editor in the right sidebar. From there, switch between manual and automatic modes or configure your trigger conditions.
